5 approaches to a greener office

Building a greener office is an incredible way to simultaneously save money and help the environment. Some small businesses think that going green takes too much effort, but that’s hardly the case. Here are a few quick and simple ways to make your office greener.

1.    Use double-sided printing whenever possible

Set your printer or copier’s default mode to double-sided printing to automatically cut down on paper use. This is a simple step and if anyone requires single-sided printing they can easily change the settings.

2.    Use a water delivery service

Bottled water is incredibly wasteful, and unfortunately is prevalent in most offices. Using a water delivery service gives your employees the chance to drink clean water without wasting all that plastic and suffering from the possible health effects of bottled water.

3.    Turn lights and machines off when they’re not being used

This might seem obvious, but many people do not turn off lights and machines when they’re not in the office. Failing to do so can result in a lot of wasted energy and can cost your company funds. Encourage employees to turn off lights, computers and printers to automatically cut back on energy use.

4.    Use recycled and recyclable products when you can

Virtually any paper product is available in recycled versions at major office supply retailers. While they’re much better for the environment, they are generally comparable in price to non-recycled versions.

Using recyclable and compostable products is also important. These items are generally easy to find and can make a huge impact if they’re actually recycled after use. If you don’t implement an easy-to-follow recycling plan, you may find that employees aren’t actually recycling anything.

5.    Cut down on commuting

If you have a company filled with commuters, it can be very helpful to implement some sort of carpool matching service that connects employees who live near one another. Offering parking incentives or other bonuses to people who carpool is an excellent way to generate interest in the program.

These are all simple and inexpensive ways to make your office greener and to ensure that your business has less of an impact on the environment. If you’re interested in finding more ways to green your business, take a look at this article.

Tips on how to clean your keyboard

You’ve likely heard that your keyboard could be dirtier than a toilet seat – but are the rumors true? Levels of germs on a keyboard vary, but are often quite high. Some keyboards that have been tested have, in fact, shown levels of germs five times higher than germs found on a toilet.

If that isn’t enough to get you to clean your keyboard, consider the fact that you touch it every day, when you’re sick and when you’re eating. If you don’t clean it frequently enough, those germs can rapidly accumulate and spread to other items on your desk. Here are some tips that can help you clean your keyboard quickly and effectively.

Detach the keyboard

Regardless of whatever cleaning method you’re using, it’s always best to disconnect your keyboard first. Failing to do so could cause your computer to be damaged. It could also cause you to accidentally type some things or perform actions on your machine that you didn’t intend to.

For a quick fix

Try using a can of compressed air to get out any loose debris that has accumulated inside your keyboard. We’ve all seen how filthy it gets beneath those keys, and this eliminates the majority of that dirt in just a few seconds.

Simply turn the keyboard upside down and spray the compressed air, then tap the keyboard a couple of times until you see the dirt fall out. You can then clean the sides of the keys with a cotton swab that has been dipped in isopropyl alcohol (no ethyl-based alcohol) – this will get rid of a great deal of the germs that have built up.

For a more thorough cleaning

If simply cleaning out the dirt isn’t enough for you, you can remove the keys for a more squeaky-clean keyboard. The keys can be removed by gently prying them up with a small screwdriver or something similar.

Once the keys have been removed, you should utilize the can of compressed air to get rid of all of the loose dirt. Then wipe the entire keyboard with a moist cloth. Finally, clean all of the keys with isopropyl alcohol to get a more substantial clean.

After a spill

If you’re simply doing a little damage control after a spill, the solution is simple. Unplug the keyboard, turn it upside down right away and put a cloth underneath it to soak up all of the excess liquid. You will then want to leave the keyboard upside down for as long as possible to ensure that it is totally dry.

Make virtual meetings less difficult to manage with these 3 tips

Face-to-face meetings may be the longtime standard, but they’re not always practical. Virtual meetings are quickly becoming more popular, and they’re fairly easy to conduct. There are certain tips to keep in mind, however, when you’re conducting a virtual meeting.

Etiquette is the key to most meetings, and it’s no different with those of the virtual variety. This may seem somewhat obvious, but many people think they can be more casual during virtual meetings – and that isn’t always the case.

Here are a few more tips that can help your virtual meetings to be more effective and professional.

1. Be prepared

Preparedness is significant for any meeting, virtual or not. When you’re conducting a virtual meeting, it can be easy to forget who your audience is. You want to make sure that the information you’re presenting is appropriate for each participant.

Also, make sure that everybody invited to the meeting has the appropriate login information. If the invitees can’t actually access the meeting, the entire function is lost.

2. Engage participants

Virtual meetings can quickly become very stiff if you don’t have a relationship with the person on the other end of the meeting. Rather than just jumping right into the task at hand, try going around and allowing all of the meeting’s participants to introduce themselves.

Although it might feel like freshman orientation all over again, having everybody go around and share the highlight of his or her weekend or some other little tidbit, can serve as a huge icebreaker.

3. No side conversations

Side conversations can be incredibly distracting to all participants, even if you’re not on screen at the moment. Not only can side conversations grab the concentration of the presenter, it can distract other attendees and deter from the point of the meeting.

Virtual meetings are great assets and there are many ways to ensure that you are conducting them in a professional and interesting manner. If you’d like to take a look at more suggestions for conducting virtual meetings, check out this Inc. article.

Benefits and drawbacks to e-readers

E-readers have become very popular in recent years. Those who use them love them for their convenience and portability. Everybody doesn’t share their excitement, however. There are a number of things to take into consideration before you decide if an e-reader meets your needs.

What are the options?

There are plenty of choices out there in terms of e-readers: the Amazon Kindle, the Sony Reader and Barnes & Noble’s Nook are among the most well-known choices. Some newer versions offer Internet capabilities, but the key purpose is to display e-books.

Tablet owners often use their tablets to read e-books as well. Most tablets, however, do much more than just display e-books, so that is not their main purpose.

Pros

  • E-readers are extremely portable, which is wonderful for anybody who likes to read while on vacation or a business trip
  • Another travel bonus – if you are in a foreign country, you may still download an e-book in the language you have chosen, instead of searching for an accommodating bookstore.
  • Books are typically more affordable than you will find in regular bookstores.
  • Privacy – you almost certainly don’t want everyone to know if you’re reading a self-help book. If you’re using an e-reader, they won’t be able to tell.
  • All of your books can be found in one place.

Cons

  • Depending on the style of e-reader or tablet, you might not be able to read in direct sunlight because of screen glare.
  • Cost – although you may pay less for books than you normally would, e-readers generally cost upwards of $140.
  • If you’re used to shopping in used bookstores, these books will cost much more than you’re used to spending.
  • Lending books isn’t always an option.
  • All of your books are in a single location – if you lose your e-reader, you’re losing all of your books unless you buy a replacement.

As with any technology, the choice between an e-reader and a book depends on personal preference. While some people want to be able to display their books on a bookshelf and share them with the world, others prefer the portable convenience that comes with an e-reader.

Increase employee motivation with these 4 techniques

Inspiring employees can sometimes be hard to do when you’re running a small business. Funds are usually limited and there is not a lot of time to spare. Keeping your employees motivated, however, is imperative to the success of your business.

There are a number of ways to motivate employees that don’t include big bonuses or expensive benefits. A hand-written thank you letter can go a long way when it comes to showing employee appreciation. Here are a few other ideas:

1. Ask for input

It means a great deal to most employees to know that their thoughts and opinions are taken into consideration. By asking for input and implementing the best suggestions, you are showing them that you value their opinions and that they play a substantial role in the company.

2. Change it up

Sometimes repetition can lead to a reduction in motivation. When this happens, it’s essential to remember the cause for the waning motivation and mix things up a little. If you know an employee is eager to exercise a certain skill, try giving him or her a project that allows for that.

3. Focus on a great company culture

Some of the best companies to work at are those that employees feel are unique. Developing a great company culture can actually be quite simple and may help you to find and retain strong employees. A game room where employees can take a break and decompress when they’re feeling burned out can do wonders.

4. Recognize people for a job well done

Working hard on something often feels like it was all for nothing if you are not acknowledged for doing it well. That’s why it is so critical to show some sort of recognition for your employees to keep them working just as hard.

Something as simple as bringing up their achievements at a company-wide meeting or sending around an email recognizing their triumphs can make them feel appreciated. Although they may shy away from attention, they will likely be pleased to know that they’re being recognized.

All of these techniques are easy, affordable and can do wonders when it comes to motivating employees. Explore one or two of these ideas to see how they may affect employee morale and motivation.

Smartpens can help allow you to be more efficient – here’s how

Smartpens are the new big trend that has the business world excited. They’re still rather young, but their capabilities are already vast and they’re still growing.

Most smartpens basically convert your handwritten notes into computer files for easier review. Precisely what each smartpen is capable of, however, varies greatly.

IOGEAR Mobile Digital Scribe

This was the first smartpen on the market and, because of that, it comes without some of the bells and whistles that are available on newer pens.

It does, however, do plenty of great things that make it a fantastic business tool. The Mobile Digital Scribe captures and stores all of your notes for later review. It doesn’t require you to write on a certain surface – a simple piece of paper will do. Also, if you connect the smartpen to your computer, it can display your notes on the screen as you write them.

Logitech IO2 Digital Pen

The Logitech IO2 Digital Pen is also a more basic model, like the IOGEAR version. It lets you save your notes in a number of different file types and formats.

You are then able to browse your notes for keywords and phrases by date, file name or file type. This makes it much easier to scan your notes for specifics of a meeting or conversation. One of the inconveniences of this smartpen is that you cannot simply write on any surface – you must use Post-Its or a digital notebook made specifically for smartpens.

Livescribe Echo

The Livescribe Echo smartpen is by far the most technologically advanced of all the smartpens out there. It not only transcribes everything you write down, it also records audio and converts the recording into a number of different audio file types.

The coolest feature that you’ll find on the Echo is the Pencast capability. A Pencast lets you play back the audio and synchronize it with your notes, making it much less complicated to keep a detailed record of your thoughts without writing down everything. Apple has also built a free app that allows for easy sharing and replaying.

These pens are pretty interesting tools that can be great for just about anyone. They take a great deal of time out of transcription and make remembering details of a meeting or conversation much easier.

What is the latest update to Google? Gmail Motion

As you may have heard already, Google has just unveiled its new feature, aptly titled Gmail Motion. In an attempt to keep up with the ever-changing technology of the Internet, Google has built a series of motions that is translated into actions and commands in Gmail.

Common actions such as reply all, search and archive can now be completed with simple gestures, instead of a keyboard and mouse. This advancement will probably make users feel more in sync with their computers and enjoy their email experiences even more.

How does it work?

The technology works with your computer’s webcam – most of which are built in to your computer these days. Google’s patented spatial tracking technology detects your movements and translates them into Gmail-specific commands.

How to use Gmail Motion safely

Safety precautions are very critical when it comes to operating Gmail Motion. Just like any other physical activity, injuries are possible and the proper steps must be taken in order to avoid them. Making sure the area around you is clear is the first step. The technology may overwhelm you at times and cause you to make fast, jerky movements, which can result in injury.

It is also recommended that you take regular breaks, just as you would if you were doing any other sort of work on the computer. Intermittent stretching is ideal as well. It will prevent your muscles from cramping and feeling overworked.

If this technology intrigues you, try taking a look at the Gmail Motion website, which profiles how-to videos and a printable Motion Guide that contains all of the possible gestures. If you are a business user who is wondering when you will be able to take advantage of this technology, have no fear – you will soon be seeing Google Docs Motion.

This is a huge technological advancement that could change the way all of us interact with our computers and complete daily tasks. Google’s latest announcement may seem goofy and kind of crazy to some of you, and it is – it’s just another one of Google’s yearly April Fools’ Day pranks.

Happy April Fools’ Day!

3 on-the-go security gadgets

If you’re traveling a lot for business purposes, or even working every once in a while at the local coffee shop, you know how valuable data security is. Sometimes, security isn’t all that attainable when you’re on the move all the time, but there are plenty of tools like these three that make it more achievable.

Laptop privacy screens

Privacy can be particularly tricky when you’re working in a public place like a coffee shop or an airplane. There is always a nosy neighbor who wants to see what you’re working on. Unfortunately, if you’re working on something with sensitive information, there is not an easy way to keep your neighbor from spotting it.

People who are viewing your screen from an angle will have an obstructed view. The privacy screen darkens your laptop screen, which is especially helpful for when you are taking a look at sensitive data that you don’t want anyone else to see – no more crouching over your laptop to cover everything.

Handheld paper shredder

We all know the benefits of shredding documents that have personal or business information on them. Sometimes, it’s not so convenient to do. With a handheld shredder, destroying sensitive documents is a simple task that can be a huge help in keeping your data protected.

Mandylion Password Manager

You’ve probably heard several times how important it is to have a secure, unique password for each of your accounts. The problem is, those passwords can sometimes be difficult to remember, and you can quickly use up all your password options if you have to reset it every time you try to log in.

The Mandylion Password Manager eliminates that problem and makes it simple to keep track of all of those strong passwords you create. With its “military-grade password protection,” this gadget is excellent for anyone who has trouble coming up with and remembering passwords – and you can even attach it to your keychain!

Anyone who works outside of the office from time to time knows how tricky it can be to really secure your belongings as well as information. These tools, and others like them, make the security much easier to attain.

Tricks for managing your email inbox

Email is both an incredible convenience and a huge stressor for many of us. Our inboxes overwhelm us with messages, yet most of them are vital. Fortunately, there are many techniques out there that can help make your inbox easier to handle. Here are a few of them:

  1. Set up folders

Setting up folders or labels in your email client is an easy way to organize your inbox. Often, you can set filters to sort out your emails automatically so that emails from certain addresses will go into a separate folder.

With this feature, trivial emails are filtered out and don’t take up essential space in your inbox. It’s pretty easy to set this up and since this feature is available in most email clients and services, it is probably available to you.

  2. Enable conversation view

Enabling conversation (or “threaded”) view in your email client minimizes the number of visible emails in your inbox. Emails that are related to one conversation will all be found under one “email” instead of taking up several spots in your inbox.

Also, when you utilize this feature, you will address all emails in a conversation when you address one. There is no longer a need to go through and archive each individual email – delete one, and you’re done.

  3. If it will take less than 5 minutes to address, deal with it right away

Any time an email will take five minutes or less to address, it’s counterproductive to put it off. If it must be done, it will have to either be done now or later, so why not do it now? As you continue this habit, these simple emails will start taking even less time and it will become like second nature to address emails as they arrive.

These tips are only three of many that can help streamline your email inbox. They’re easy ways to manage your email and help make it less stressful, so why not try them out?

Wireless vs. wired mice

Whether you’re a wireless mouse user or you’ve stuck with the wired version, you probably know that there are benefits of both. The debate between the two options has been going on for years. While it most likely won’t be resolved anytime soon, these facts may well help you better determine which one is right for you.

Wired

The advantages of wired mice are plentiful. Some of the key ones include:

  • Extended life expectancy
  • Quicker response time
  • More cost efficient
  • Better accuracy – a big pro for gamers
  • No chance of inadvertently gaining control of someone else’s computer

Even though wired mice are the longtime standard, there are some drawbacks. The most often cited weakness is the inability to roam, which is a deal-breaker for many.

Wireless

People that argue for wireless mice seem to be very passionate about their convenience. Sure, they require new batteries every few months (or days or weeks, depending on how often they’re being used), but they also have many pros, including:

  • Greater freedom – another favorite feature among gamers, who often control their TVs from the couch
  • Improvements in response time and accuracy
  • Fewer cords
  • Smoother movement due to the lack of a cord

Despite these advantages, there are still several disadvantages to think about. Bad signals and dead batteries may not happen frequently, but if they come at an inconvenient time, the results can be detrimental.

Overall, there are pros and cons to both options, and the general answer is: it’s all about preference. If you need to ensure that your mouse is reliable and accurate at all times, then you are probably better off with wired. If you don’t care as much about accuracy and enjoy a little more freedom, wireless might be right for you. Either way, you will probably be satisfied with your choice.
